The duplicate finder is part of the Dockli Web App, on every plan.
Starting a scan
- Right-click a library or folder and choose Find duplicates, or
- Open Skills and run Find duplicates (Spark).
Dockli scans everything inside — including subfolders — and opens a dashboard with the space you could reclaim, the biggest offenders, and two tabs:
- Identical — files with exactly the same content, whatever they’re called. Dockli compares Microsoft 365’s own content fingerprint for each file; for Word, Excel and PowerPoint files it compares the document content itself, so a copy SharePoint re-saved still counts as identical.
- Similar names — files whose names look like copies of each other (for example Budget.xlsx and Budget (1).xlsx) but whose content differs. Worth a look; never treated as identical.
Items already in the recycle bin, and anything in a _Duplicates folder, are left out.
Cleaning up
Each group shows every copy with its folder, size, and when and by whom it was last changed. One copy is marked Keep — the most recently changed by default; pick a different one if you prefer. Then choose what to do with the extra copies:
| Action | What happens |
|---|---|
| Move extras to _Duplicates | The extras are moved into a _Duplicates folder inside the location you scanned, so you can review them before deleting. |
| Rename extras | The extras are renamed to … (old copy yyyy-mm-dd) so they’re easy to spot. |
| Delete extras | The extras go to the SharePoint or OneDrive recycle bin — restorable for the usual retention period. |
Dockli always asks you to confirm first, and only ever touches the copies marked Extra.
Export and AI
- Export downloads the findings as a CSV (group, file, folder, size, modified, kept or extra, link) to share or keep.
- On the Spark plan, Ask Dockli AI opens Dockli AI with the findings, so you can ask what to keep or have it summarise them.
Dockli acts with your own permissions, so it can only scan and change what you can already access.
